It should be read alongside the privacy information supplied for your booking by ITE and the relevant travel providers.
Who is responsible for your information?
Independent Travel Experts Ltd (ITE), a private limited company incorporated in England and Wales, company number 07701813, is the data controller of the personal information we hold about you.
ITE’s registered and postal address is St Andrews House, West Street, Woking, Surrey, GU21 6EB.

Information used to help with your trip
You may give us your name, contact details, destination ideas, dates, budget, travel preferences and correspondence when you enquire. If you proceed to a booking, the information needed can include traveller names, dates of birth, passport details and booking or payment records. The booking provider will explain the information it requires. Please do not send card security codes or passport scans in an initial enquiry.
Where you enquire on another traveller’s behalf, make sure they know their information is being shared. Information about children should be provided by an authorised adult.
Why information is used
| Purpose | Lawful basis |
|---|---|
| Responding to a requested quote and arranging your trip | Steps you request before a contract, or performance of a contract where applicable. |
| General correspondence, resolving concerns and keeping necessary service records | Legitimate interests in providing a responsive service and managing enquiries, balanced against your rights. |
| Required tax, accounting or regulatory records | Compliance with applicable legal obligations. |
| Optional email, SMS or WhatsApp marketing | Your consent for the relevant channel. |
| Hosting, technical support and protecting the website | Legitimate interests in keeping the service available and secure. |
Necessary enquiry or booking information enables us to provide the service you request; without it, some arrangements may not be possible. Optional marketing is not a condition of receiving travel advice.
Health, accessibility and other sensitive information
If assistance, accessibility or dietary requirements reveal health or other sensitive information, share only what is needed. Before collecting or passing it on, we will explain the purpose, recipients and applicable legal basis, including obtaining explicit consent where that is required. Sending sensitive details is not, by itself, treated as explicit consent.
Sharing and service providers
For your travel arrangements, we share the details needed with ITE and the companies involved in the trip you request or book, such as your airline, tour operator and hotel. We limit the information shared to what is needed to quote, arrange or deliver that service. Those suppliers may handle information under their own privacy policies and the laws of the countries where they operate. If you have concerns, please review their policies before booking, or ask us to help identify the relevant supplier and policy. This does not remove ITE’s obligations when sharing or transferring your information.
Cloudflare hosts this site and forwards mail sent to our public address to our ITE email account. Technical services can process connection information, including IP addresses, for delivery and security. See Cloudflare’s privacy information.
ITE and the relevant suppliers may also use service providers for communications, payment processing, booking administration, secure record storage and professional advice. Information is shared as needed for the relevant service or legal obligation.
Marketing and the planned sign-up form
There is currently no public sign-up form on this website. Before introducing a form or new marketing technology, we will update this notice to identify the services used and explain any additional processing. We will provide a choice for each marketing channel offered and explain withdrawal when collecting consent. Booking messages are separate from optional promotions. Contact us to withdraw marketing consent; email messages will also include an unsubscribe option.
Overseas processing and security
Travel arrangements and service providers can involve processing outside the UK. ITE remains responsible for meeting its applicable data protection obligations when information is transferred overseas. Contact ITE using the details above for the locations and transfer arrangements relevant to your booking or the services you use. We aim to limit access to information to people who need it and to use appropriate safeguards; no online service is completely risk-free.
How long information is kept
Records should be kept only for as long as needed for their purpose, taking account of booking administration, legal obligations and disputes. ITE determines retention by considering the purpose of the record, whether the enquiry or booking remains active, applicable tax and accounting requirements, and any outstanding complaint or legal claim. Contact ITE for the period that applies to your records. A limited suppression record may be needed to honour an opt-out. The cookie-notice preference is honoured for 180 days.
Your information rights
Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your information, object to certain processing, and withdraw consent. Withdrawal does not undo earlier lawful processing. You can object to direct marketing at any time. Contact us using the details above; we may need proportionate information to verify your identity.
You can also complain to the Information Commissioner’s Office. These rights may have legal limits.
Cookies, external links and changes
See our cookie policy for the current website’s security technologies and notice preference. External services, including social networks, have their own privacy notices. We will update this notice when our processing changes and draw attention to material changes.
